What this service handles
A group block turns a lobby into a bottleneck. Coaches arrive together, bags come off in a pile, front desk has a queue, and the property's own staff are absorbed by an arrival that lasts two hours and is judged for the whole stay.
VaultPac can run the ground half of it as a desk function: greeters at the airport and at the property, the manifest reconciled as people actually arrive, bags staged and matched to rooms rather than heaped, and vehicles dispatched against kerb capacity rather than all at once.
It is the hotel-side counterpart to a large arrival programme, and it is often booked by the property rather than by the group.
Typical movement
- Manifest received Names, flights, bags, rooms
- Greeters at airport and property Arrivals met at both ends
- Luggage staged and matched Scanned against the manifest, not heaped
- Vehicles dispatched to kerb capacity Rather than all at once
- Bags to rooms Coordinated with the property's team

How VaultPac coordinates it
Every booking is a trip. A trip carries trip services, and each service breaks into the individual movements that actually have to happen — which is why the people and the bags do not have to travel the same way.

- Individual movements
-
Group manifest
Send the passenger and bag list you already have. It is read into the trip instead of being retyped into a form.
-
Meet & greet
A greeter recorded on the movement itself, so dispatch knows the handoff is staffed and not assumed.
-
Luggage movement
Bags booked as their own movement, with their own route, their own timing and their own proof.
-
QR custody scan
Every bag carries a tag. Each change of hands is scanned, so custody is a record rather than a recollection.
-
Proof of delivery
Time, place and who received the item, captured at delivery.
-
Multiple vehicles
Several vehicles on one itinerary, each with its own assignment, timing and passenger list.
-
Separate cargo vehicle
A dedicated vehicle for bags, cases or equipment running alongside the passenger vehicles rather than inside them.
-
Dispatch monitoring
Every movement on one board while it runs, so a late arrival is seen rather than reported.
-
Trip → Trip Services → Movements
One trip holds every service on it, and each service breaks into the individual movements that have to happen. A single booking can carry people and bags on different vehicles and different clocks without becoming two bookings.
What runs this movement
Assignment reads the passenger count and the bag count, so the vehicle that arrives fits both. Larger movements run several.

Why VaultPac for this
- The bags are scanned against the manifest, so room delivery is a match rather than a guess.
- Vehicles arrive at the rate the kerb can absorb.
- The property's own staff are not consumed by the arrival.
- Runs as the hotel end of a full arrival programme, or on its own.
Questions
Do you work alongside our bell team or replace them?
Alongside. The aim is that your team is not consumed by a two-hour arrival, not that they are absent from it.
